Privacy Policy

Last updated 27 August 2026 · Spaces WiFi is a trading style of Webcraft Solutions Ltd ("we", "us"). Contact for anything in this policy: hello@spaceswifi.com.

What this covers

This policy explains how we handle personal information across the Spaces WiFi website, the portal builder at try.spaceswifi.com, our site-check questionnaire, and our billing of customers. It does not cover the details of guests who use a venue's Wi-Fi — see "Guest Wi-Fi data" below.

Website enquiries

When you submit an enquiry form we collect the details you provide — name, email address, venue name, phone number (if given), venue type, number of sites and your message — plus the date and IP address of the submission, to help prevent spam and abuse. We use these to respond to you and follow up about what you asked for.

The portal builder

You can design a Wi-Fi welcome page without giving us anything. If you choose to save a design, we collect your name, work email, phone number (optional) and venue name, together with the design itself — wording, colours and any images you upload. We use these to store your design, email you the links to it, and contact you about our guest Wi-Fi service (you tick a consent box telling us we may). Designs that are never saved, and their uploaded images, are deleted automatically within about 48 hours.

The site check (questionnaire)

If you complete our site-check questionnaire we collect your answers about your venue and its network (for example who manages it, how many access points, broadband details). We use them to work out and confirm your price, and to plan the installation if you go ahead. Your answers form part of your order under our service agreement.

Customers and billing

If you become a customer we hold your business and contact details, your order information and your billing history. Payments are processed by Stripe — your card or bank details go directly to Stripe and are never stored on our systems; we see only what we need (such as the payment status and the last digits of a card). See Stripe's own privacy policy for how they handle payment data.

Emails we send

We send transactional email (design links, quotes, receipts, service notices) through Microsoft 365. We only send marketing to prospects who have consented, and you can opt out at any time by replying or emailing us.

Sharing

Your details are handled by Webcraft Solutions Ltd and by providers acting on our behalf: IONOS SE (hosting), Microsoft (email), and Stripe Payments Europe (billing). We do not sell your information or share it with third parties for their own marketing.

Legal basis

We rely on your consent (saved designs, marketing contact), on taking steps to enter a contract with you (quotes, orders, billing), on the contract itself (providing the service), and on our legitimate interests (responding to enquiries, keeping business records, protecting our systems). You can withdraw consent at any time by contacting us.

Retention

Enquiries and saved designs are kept while the conversation is live and for our legitimate business records, then deleted — you can ask us to delete your design and details at any time. Customer and billing records are kept for as long as the law requires (typically six years for accounting records).

Your rights

Under UK GDPR you may access, correct or ask us to delete your personal data, and object to or restrict its processing. Email hello@spaceswifi.com and we will respond promptly. If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office (ico.org.uk).

Cookies

The builder uses a session cookie so your design-in-progress follows you between pages; it is essential and holds no tracking. If analytics or advertising tags are enabled on our marketing site, those services may set their own cookies — see their notices for details.

Guest Wi-Fi data

Where we operate guest Wi-Fi on behalf of a venue, the venue is the data controller for its guests' information and we act as the venue's data processor under our service agreement (Schedule 2). Guests should contact the venue about their data; the venue's dashboard gives it the tools to search, export, delete and unsubscribe guest records.
